Common questions about HVI and how it works.
HVI (Heavy Vehicle Inspection) is a software platform built for Indian infrastructure companies. It helps you manage inspections, maintenance, incidents, and compliance — all in one place. Instead of paper forms and WhatsApp photos, your team uses the HVI app to capture everything digitally. Reports are generated automatically with photos, GPS location, and timestamps.
Yes! HVI supports English, Spanish, Portuguese, French, German, Dutch, Polish, Italian, Hindi, Tamil, Russian, Punjabi, Japanese, and more. You can change your language anytime from the language dropdown in the top-right corner of the portal.
Yes, HVI works worldwide. While it is designed for Indian infrastructure companies, you can use it from any country. Just set your currency, language, and region in the Account Settings.
CMMS stands for Computerised Maintenance Management System. It is software that helps you manage all maintenance work — inspections, repairs, spare parts, and reports — from one place instead of using paper registers and Excel sheets. HVI is a CMMS built specifically for infrastructure and fleet operations.
Preventive Maintenance means servicing your equipment on a regular schedule — before it breaks down. For example, changing engine oil every 500 hours or checking brakes every month. HVI can automatically remind you when a service is due based on running hours or calendar dates, so you never miss a scheduled service.
A Work Order is a task that tells a technician what maintenance or repair work needs to be done, on which machine, and by when. In HVI, work orders are created automatically when a defect is found during inspection, or you can create them manually. Once completed, a full report is generated with all details.
Yes! This is one of HVI's biggest advantages. Your operators can do inspections, log incidents, and fill work orders even when there is no internet on site. All data gets saved on the phone and automatically syncs to the server when internet is available again. This is very useful for remote highway sites, mines, and construction zones.
Yes, HVI works for fleets of any size — whether you have 5 machines or 1,000+. There are no per-user charges, so you can add as many team members as needed without extra cost.
Most teams go live within 30 minutes. No IT team needed. Just sign up, add your vehicles, invite your team members, and start inspecting. Many companies run their first inspection the same day they sign up.
Questions about plans, pricing, free trial, and payments.
HVI has three plans — Business (inspection only), Enterprise (inspection + maintenance), and HVI One (full platform with fuel, purchase, tire, tool management and more). All plans are priced per vehicle per month. You can pay monthly or annually — annual billing saves you 25%. See full details on our Pricing page.
Just sign up — no credit card or payment is needed. You get full access to all features for 14 days. Add your vehicles, invite your team, run inspections, create work orders — try everything. If you don't want to continue after 14 days, your account simply becomes inactive. No charges.
Yes. There is no lock-in period and no cancellation fee. You can cancel anytime. Your access will continue until the end of your current billing cycle. Before cancelling, you can download all your data in Excel format.
Yes. If you have 200 or more vehicles, you get special volume pricing. We also offer discounts on multi-year contracts. Book a demo with our team and we will give you a custom quote based on your fleet size.

Questions about user accounts, roles, permissions, and team management.
Yes. You can add as many users as you need — operators, technicians, supervisors, site managers, and admins. Each person gets their own login and can use HVI on their own phone or computer.
HVI has the following roles: Administrator (full access), Supervisor (manage teams and reports), Operator (do inspections), Technician (complete work orders), Employee (basic access), and Sub Admin (limited admin rights). You can set exactly which features each role can see and use.
Yes. You can set different permissions for each user. For example, an operator can only do inspections, while a supervisor can see reports and approve work orders. This way, sensitive data and admin settings are only visible to the right people.
Go to the Team Management section. From there you can invite new users by entering their name and phone/email, set their role, and assign them to a site. To remove someone, you can block, deactivate, or delete their account — all from the same screen.
Yes. HVI has built-in comments, notifications, and messaging. For example, when a defect is found, the technician gets a notification automatically. Team members can add comments on work orders and inspections, so everyone stays updated without needing WhatsApp or phone calls.
Yes. HVI supports multi-site operations. You can add team members to different project sites, assign site-specific roles, and see all activity from one dashboard. This is ideal for EPC companies running multiple highway, metro, or construction projects at the same time.
Questions about adding vehicles, tracking history, and managing your equipment.
In HVI, a "vehicle" means any machine or equipment you want to track. This includes excavators, cranes, tippers, loaders, bulldozers, mixers, rollers, generators, trucks, buses, and any other heavy equipment your company uses. You can also add custom equipment types.
Go to the Vehicle Management section and tap "Add Vehicle". Fill in the details like name, type, registration number, location, and specifications. If you have many vehicles, you can also upload them all at once using an Excel file — no need to add one by one.
Yes. You can add any extra fields you need — for example, insurance expiry date, engine number, or hour meter reading. You can also create custom inspection checklists for each type of machine.
Yes. Every inspection, repair, service, and incident for each vehicle is saved with photos, GPS location, and date/time. You can open any vehicle and see its complete history — like a digital logbook that never gets lost.
Yes. You can upload files like RC copy, insurance papers, service manuals, warranty documents, and any other paperwork. Everything stays attached to that vehicle inside the app — easy to find when you need it.
Every time an inspection or work order is done, HVI automatically captures the GPS location. So you always know where a machine was when it was last checked. You can also connect HVI with GPS tracking and telematics systems for real-time location.
HVI supports all types of heavy equipment — excavators, cranes, tippers, loaders, bulldozers, concrete mixers, road rollers, drill rigs, generators, trucks, buses, pavers, tankers, and pumps. You can also create your own custom equipment types if your machine is not in the list.
Questions about work orders, service scheduling, and integrations.
Go to the Maintenance section and tap "Create Work Order". Select the vehicle, choose the type of work, set a due date and priority, and assign a technician. You can also set up automatic work orders — for example, HVI can create a service reminder every 500 running hours or every 3 months.
Yes. When creating a work order, you can assign it to a specific technician. They will get a notification on their phone. You can also set priority (high, medium, low) and a deadline so everyone knows what to do first.
Yes. HVI sends reminders through email, mobile push notifications, and inside the app when a service is coming up. If a service is overdue, it automatically alerts the supervisor so nothing gets missed.
Open any work order to see its current status — pending, in progress, on hold, or completed. Technicians can update status, add notes, upload photos, and log the time they spent. When the work is done, HVI automatically creates a completion report.
Yes. HVI can integrate with SAP ERP, GPS tracking systems, fuel card providers, accounting software, and OEM telematics. API access is included in the HVI One plan. Our team helps you set up the integration so your data flows smoothly between systems.
Yes. When an operator finds a problem during inspection, HVI automatically creates an incident report with all the defect details, photos, and GPS location. The supervisor gets notified immediately so corrective action can be taken right away.
Questions about data migration, reports, downloads, and data security.
Yes. You can upload your vehicle list, spare parts inventory, and past records using Excel files. If you are on the HVI One plan, our team will also help you convert your paper records to digital — so you don't have to do everything yourself.
Yes. You can export data in Excel, CSV, and PDF formats anytime. Inspection reports, maintenance reports, and compliance reports can all be downloaded as professional PDF files — ready for audits, client submissions, or management reviews.
Yes. HVI lets you create reports with the data you need. You can filter by date, site, vehicle, or technician. Reports include inspection rates, PM completion percentage, incident trends, safety scores, and downtime analysis. All reports can be downloaded as PDF.
Yes. HVI uses 256-bit SSL encryption (the same security used by banks), multi-factor authentication, and intrusion detection systems. Your data is stored on secure cloud servers with automatic daily backups. Only your authorised team members can access your company's data. We follow all data protection rules applicable in India.
Yes. HVI has role-based access controls. This means you decide which user can see which data. For example, a technician may see only work orders, while a manager can see reports and analytics. Sensitive information stays protected.
Yes. HVI's dashboard shows real-time data for all your sites. You can see reports for each vehicle — maintenance history, downtime, inspection results, and PM completion rate. You can also compare performance across sites to find which machines need more attention.
Yes. Every action in HVI — inspections, work orders, incidents, and PM services — is automatically saved with date, time, GPS location, and photos. Reports are generated automatically with full details. You don't need to prepare anything separately for audits — everything is already ready.
