FASTag & Toll Expense Tracking for Fleets: Control Costs

On a long-haul trip, tolls are often the second biggest cost after diesel, yet many fleets only check FASTag statements when the balance runs low. Double deductions, charges at plazas a truck never crossed and wrong class rates slip through month after month. Add fuel bills, driver claims and repairs, and nobody knows what a trip really cost. This guide shows how to reconcile tolls, catch errors and work out cost per km, and how fleets bring expenses and maintenance together in HVI.

FASTag and Toll Expense Tracking for Fleets: Control Costs

Reconcile FASTag statements, recover wrong deductions and allocate every rupee to the right vehicle, trip and customer, so your cost per km is real and not a guess.

Where the money goes on a typical long-haul trip
Fuel 64% Tolls 19% Driver 9% Repairs 8%

Four Expense Streams and How to Capture Each

Each type of cost arrives from a different source. The key is to capture all four against the same vehicle and trip.

Tolls

Deducted automatically through FASTag at each plaza.

Fuel

Filled at pumps on fuel cards, credit or cash.

Driver expenses

Allowances, loading charges, parking and small cash costs.

Repairs and tyres

Reconcile FASTag Statements in Five Steps

A monthly reconciliation, or weekly for busy routes, finds most wrong charges while they can still be disputed.

1

Download

Export the FASTag statement for each vehicle.

2

Match

Match each toll to a trip and its GPS route.

3

Flag

Mark duplicates, wrong plazas and wrong class rates.

4

Dispute

Raise a complaint with the FASTag issuing bank.

5

Track refund

Follow up until the amount is credited back.

Common FASTag Errors and What to Do

These are the mistakes fleets find most often when they start checking statements. Dispute processes and time limits differ between issuing banks.

ErrorHow it shows upHow to catch itAction
Double deductionTwo charges at the same plaza minutes apartLook for repeat entries with the same plaza and timeDispute with the issuing bank
Plaza not crossedCharge at a plaza off the truck's routeCompare with the GPS track for that dayDispute with GPS proof
Wrong vehicle classHigher rate than the vehicle's classCheck charged amount against the plaza's rateDispute and correct the tag class
Charge while parkedDeduction when the truck was in the yardCheck GPS and trip records for that timeDispute and check for tag misuse
Missing return discountFull rate charged on an eligible return tripCheck plaza rules for return journeysRaise with the issuer or plaza

Keep the FASTag balance topped up and the tag active. Vehicles without a valid, working FASTag can be charged a higher toll at plazas.

See Every Trip's True Cost in One Place

HVI brings toll, fuel, driver and repair expenses together with maintenance records for each vehicle, so cost per km and cost per customer are always up to date.

FuelRs 30,000
Tolls from FASTagRs 9,000
Driver allowance and expensesRs 4,000
Maintenance share at Rs 3 per kmRs 3,600
Total trip costRs 46,600
Cost per km over 1,200 kmAbout Rs 38.8

Why it matters

  • Quote freight rates that cover real costs
  • Spot routes where tolls or fuel run high
  • Compare trucks doing the same work
  • Show customers the cost behind each rate

Three Ways to Allocate Costs

The same expense data answers three different business questions, depending on how you group it.

Per vehicle

Which trucks cost the most to run?

Shows high-cost vehicles that may need repair, retraining or replacement.

Per trip

Did this trip make money?

Compares freight earned with fuel, tolls and other costs for each journey.

Per customer

Which customers are profitable?

Reveals customers whose routes, waiting time or tolls eat into margin.

Keep Driver Expense Claims Honest and Quick

Most drivers claim fairly. Clear rules and photo receipts protect them and speed up repayment.

Good practice
  • Photo of every receipt, taken on the spot
  • Claims linked to a trip and location
  • Fixed allowances for common costs
  • Approval within a set number of days
Flags to review
  • Claims far from the trip's GPS route
  • Same receipt used twice
  • Round amounts with no receipt
  • Costs well above the route average

FASTag and Fleet Expense FAQs

How do I get a refund for a wrong FASTag deduction?

Raise a complaint with the bank or provider that issued the FASTag, with the vehicle number, date, plaza and amount, plus any proof such as GPS records showing the truck was elsewhere. Each issuer has its own process and time limit, so raise disputes as soon as you find them.

How often should fleets reconcile FASTag statements?

At least monthly for every vehicle, and weekly on busy toll routes. Regular checks catch double charges and wrong plazas while they can still be disputed, and stop small errors adding up over months.

How do I calculate cost per km for a truck?

Add all costs for the period or trip, including fuel, tolls, driver expenses and a share of maintenance, then divide by kilometres run. Teams that record expenses in HVI get maintenance costs included automatically, which is the part most manual calculations miss.

Can GPS data help check toll charges?

Yes. Comparing each toll with the vehicle's GPS track shows whether the truck actually crossed that plaza at that time. Charges with no matching route are strong candidates for a dispute.

How can I stop driver expense fraud without slowing claims?

Ask for receipt photos at the point of spending, link claims to trips and locations, and review only the claims that look unusual. Honest claims get approved quickly while outliers get a closer look. Book a demo to see expense tracking in HVI.
