Many arguments over rented equipment come down to one question: what condition was the machine in when it went out, and when it came back? Without clear records, both sides argue over missing teeth, a cracked mirror or an empty tank. A matching on-hire and off-hire inspection, with photos and signatures, settles these questions before they become disputes. This checklist covers both, and shows how rental firms compare on-hire and off-hire reports in HVI.

The Handover Checklist

Use the same checklist at delivery and at return, so every item can be compared directly. Both parties should be present.

Fuel level, photographed on the gauge
Body, glass and mirrors, all four sides
Bucket, teeth and attachments
Tyres or tracks and undercarriage
Oil or hydraulic leaks
Safety devices, lights and alarms
Documents, keys and tool kit

What to Record and Compare

Each item recorded at delivery becomes the baseline for the return check.

Making the Record Hold Up

A handover report only prevents disputes if both sides accept it as true.

1

Inspect together

Both parties walk around the machine.

2

Dated photos

Take clear photos with date and time.

3

Sign on the spot

Both sign the report before leaving.

On-Hire and Off-Hire Reports, Side by Side

HVI records both handover inspections with photos, readings and signatures, and keeps them together for each hire, so new damage, hours used and fuel are clear to everyone.

Common Rental Disputes and How to Avoid Them

These arguments come up again and again. A good handover record settles each one.

Missing teeth or parts

Small parts lost on site.

Avoid: count and photograph at delivery

Old or new damage?

Nobody knows when a dent appeared.

Avoid: note existing marks on-hire

Extra hours

Usage beyond the agreed hours.

Avoid: photograph the meter both times

Fuel charges

Machine returned low on fuel.

Avoid: photograph the gauge both times

Agree in the hire terms what counts as fair wear and tear, such as normal tooth wear, and what counts as damage. A clear agreement before the hire avoids most arguments after it.

On-Hire and Off-Hire FAQs

What is an on-hire inspection?

It is a recorded check of a rented machine at delivery, covering hours, fuel, body, attachments, tyres or tracks, leaks, safety devices and documents, with photos and signatures.

Why must the off-hire check match the on-hire check?

Using the same items and photo angles at both ends lets each item be compared directly, so any change in condition is clear and hard to dispute.

Should the customer be present at inspection?

Yes, ideally. When both parties inspect together and sign the report, it is much harder for either side to challenge the record later.

How do I separate damage from normal wear?

Agree what counts as fair wear and tear in the hire terms before the hire starts. Teams that record handovers in HVI have clear photos to support each decision.

Can handover inspections be done on a phone?

Yes. Both checks, photos and signatures can be captured on a phone and stored together for each hire. Book a demo to see rental handover reports in HVI.

Fewer Disputes, Faster Returns

Inspect every machine at delivery and return, record photos, readings and signatures, and compare both reports side by side in HVI. Clear evidence and better customer relationships.
