Is a trip sheet legally required for trucks in India?
Yes. Under the Motor Vehicles Act and state motor vehicle rules, a trip sheet or trip memo is a mandatory document that a commercial vehicle driver must carry for each trip. State-level enforcement varies, but most states including Tamil Nadu, Maharashtra, Rajasthan, and Gujarat require the trip sheet to be produced at checkposts. Beyond legal compliance, major Indian clients including NHAI, Coal India, EPC contractors, and port authorities require daily trip sheets as part of their vehicle deployment documentation.
What is the difference between a trip sheet and a lorry receipt?
A trip sheet is an operational document maintained by the fleet owner tracking vehicle movement, driver, KM, fuel, expenses, and delivery proof for internal management. A lorry receipt (also called a consignment note or LR) is a commercial document issued to the consignor as proof that goods have been accepted for transport. The trip sheet travels with the driver and comes back to the fleet office. The lorry receipt goes to the consignor and consignee. Both must reference the same trip, but they serve different purposes.
How is the e-way bill connected to the trip sheet?
The e-way bill number, vehicle registration number, and goods description must match across the trip sheet and the e-way bill. Under GST rules, an e-way bill is mandatory for inter-state movement of goods above Rs 50,000 in value. The trip sheet must carry the e-way bill number as a reference. If a vehicle is intercepted at a checkpost, the e-way bill and trip sheet are cross-checked together. A mismatch — different vehicle number, wrong goods description, or expired e-way bill — can lead to seizure of the vehicle and goods under the CGST Act.
How many days should trip sheets be retained?
Indian transport companies should retain trip sheets for a minimum of 3 to 5 years for tax audit and GST compliance purposes.
