12 Heavy Equipment Inspection Templates & Checklists

Every site that runs heavy equipment runs different machines. An NHAI highway package may have 11 excavators, 14 tippers, 4 dozers, 6 transit mixers, and 3 pavers all working in parallel. Each machine class needs its own inspection template because a crane has lifting checks that an excavator does not and a forklift has road-tyre items a tracked dozer does not. This page brings together the 12 most-used heavy equipment inspection templates for Indian construction, EPC, mining, and infrastructure fleets. Download any, edit them to your fleet, or run them as digital checklists on the HVI app. Start free with HVI to run all 12 templates on the operator's phone.

The 12 Inspection Templates

Every template below covers the four standard inspection zones: walk-around, under-hood, cab and controls, and operational test. The check counts vary because a tower crane needs more lifting-specific items than a generator does.

By Equipment Category

The 12 templates group into four equipment families. Knowing which family your machine belongs to is the first step in picking the right template.

Knowing the category helps a site head plan inspection rounds. Earth-moving machines typically get inspected first thing in the shift, lifting equipment before any load is moved, and power equipment before electrical work starts. Expert View from the Field

We run 94 machines across four NHAI packages. The mix is wide: 18 excavators, 22 tippers, 8 dozers, 14 backhoe loaders, 6 cranes, 12 transit mixers, plus DG sets and compressors. For years we used 6 different paper checklist formats and operators would mix up which one applied to which machine.

After we shifted to HVI's 12-template library, each machine has its specific template auto-loaded from the QR code on the cab. No mixing, no missing items. Our inspection compliance jumped from around 65 percent to over 95 percent in two months. The same workforce, just the right template for the right machine.

Frequently Asked Questions

Can I customise these 12 templates for my specific fleet?

Yes. Every HVI template ships as an editable baseline. You can add custom items, remove items that do not apply, change the language between English and Hindi, and adjust the OEM model references. Most Indian EPC contractors keep about 80 percent of the default check items and add 20 percent that are specific to their operation or contract clauses. The templates are version-controlled so changes do not break historical inspection records.

Which templates are mandatory under Indian regulations?

Under BOCW Act, Factories Act, and DGMS regulations, every machine in operation must have a daily operator inspection record. The specific template depends on machine class. Cranes, hoists, and forklifts have additional statutory lifting equipment checks under Section 28 of the Factories Act. DG sets and compressors fall under pressure equipment rules. NHAI and Coal India contracts typically reference the specific operator manuals of each OEM as the basis for daily checks.

Why do excavators need more checks than tippers?

An excavator has off-road tracks, hydraulic boom and stick systems, swing bearing, and complex earth-moving controls that all need inspection. A tipper is primarily a road vehicle with cargo body and dump function, fewer hydraulic complexity points, and simpler controls. The check count reflects this reality. A 28-item excavator template versus a 20-item tipper template gives both machines the right level of inspection rigour without making either burdensome.

How are templates assigned to specific machines?

On HVI, each machine carries a QR code on the cab. The operator scans the QR, the correct template auto-loads for that machine, the operator runs the checks, and submits. The system never lets the wrong template attach to the wrong machine. For paper users, machines should be physically marked with their template number (TPL-01 for excavator, TPL-02 for backhoe, etc.) and operators trained on the matching.

Can these templates work for second-hand and rental fleets?

Yes. The 12 templates are model-agnostic within their equipment class. A 7-year-old PC210 uses the same template as a brand-new one. The same applies to JCB 3DX, BEML BD80, TATA Signa, and other Indian OEM equipment. For rental and second-hand fleets, HVI's photo-verified inspection records also serve as evidence of due diligence for insurance, audit, and end-of-contract handover.
